This Privacy Policy explains how Hygeia ("Hygeia," "we," "us," or "our") collects, uses, and protects information in connection with the website at get-hygeia.com and the services we provide to dental and medical practices. By using our website or services, you agree to the practices described here.
1. Information we collect
We collect information in a few ways:
- Information you give us. When you contact us or book a call, we collect details such as your name, email address, phone number, practice name, and anything you include in your message.
- Information from our website. When you visit get-hygeia.com, we and our service providers may collect technical information such as your IP address, browser type, pages viewed, and similar usage data, including through cookies used by our chat widget and analytics tools.
- Information we process for clients. When you engage us, we process patient contact information you provide or designate, such as names, phone numbers, appointment details, and communication history, in order to operate the automated messaging and call systems on your behalf.
2. How we use information
We use the information we collect to respond to enquiries, provide and improve our services, operate the automated communication systems for client practices, comply with legal obligations, and protect the security of our services. We do not sell your information, and we do not share mobile opt-in or SMS consent data with third parties for their own marketing.
3. SMS and phone communications
Our systems send text messages and place phone calls to patient contacts on behalf of client practices. Where we operate SMS programs, the following applies to recipients:
- Message frequency varies.
- Message and data rates may apply.
- Reply STOP to opt out of further messages at any time. Reply HELP for assistance.
- Mobile information and SMS consent are never sold or shared with third parties for marketing or promotional purposes.
Phone calls placed by our AI phone assistant identify the practice on whose behalf the call is made.
4. Patient information and healthcare clients
Much of the personal information we process is patient information that belongs to the client practice, not to Hygeia. We process this information only to provide services to that practice, under the practice's direction. If you are a patient and have questions about how your information is used, please contact your dental or medical provider directly.
Where we provide services to healthcare practices, the handling of protected health information is governed by a separate written agreement between Hygeia and the practice, including a Business Associate Agreement where one is required. We limit our processing of patient information to what is needed to deliver the agreed services.
5. Service providers
We use trusted third-party platforms to deliver our services, including messaging, telephony, automation, and hosting providers. These providers process information on our behalf and are bound to handle it consistent with this Policy and their own obligations. We share information with them only as needed to operate the services.
6. Data retention
We keep information for as long as needed to provide our services, comply with our legal obligations, resolve disputes, and enforce our agreements. When information is no longer needed, we take reasonable steps to delete or de-identify it. Patient information processed on behalf of a practice is retained and deleted in accordance with our agreement with that practice.
7. Security
We take reasonable technical and organizational measures to protect information against loss, misuse, and unauthorized access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices
You can opt out of SMS messages at any time by replying STOP. You can ask us to access, correct, or delete personal information we hold about you by emailing us. For patient information we process on behalf of a practice, such requests are directed to and handled by that practice.
9. Children's privacy
Our website and services are not directed to children, and we do not knowingly collect personal information from children through our website. Patient information processed for a practice may relate to minors, and is handled under our agreement with that practice and applicable law.
10. Changes to this Policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent version. Continued use of the website or services after changes take effect constitutes acceptance of the revised Policy.
